Job Description:

Title :: Dispatch IT Coordinator

Location :: Remote

Client :: Self-Esteem Brands 

Duration :: 6 Month Contract

Visa :: GC/USC only

candidate must be Local to Minnesota Only

RESPONSIBILITIES:

Request, receive and review installation quotes from subcontractors and field service providers.

If appropriate, negotiate price of installation to ensure best price possible.

Manage the coordination and scheduling of subcontractors and field service providers for

multiple projects ranging from installation of equipment to repair calls.

Maintain daily communication with subcontractors, field service providers, general contractors

and clients to effectively communicate project expectations while proactively manage changes

in project specifications and timelines as well as identifying potential crises and devising

contingency plans.

Ensure installations are completed in a timely manner by ensuring that all required components

are at the job site on time and issuing purchase orders and required paperwork.

Review installation requirements with customers and/or contractors and validate site readiness

to ensure the job-site and customer are prepared for, and expecting our installation and

communicate any schedule changes immediately.

Communicate with Installation Support team and Project Management team to resolve any

product discrepancies and technical issues that arise during an installation.

Manage post installation quality assurance and process post installation paperwork while

working directly with the Project Management and Accounting teams to prepare customers

final invoice and process invoices from subcontractor and field service providers.

Ensure all details, activities and contacts with customers and subcontractor installers are neatly

and thoroughly documented in ConnectWise software.

DISPATCH COORDINATOR: 

Assist with the RMA process for facilitating customer returned equipment associated with

service dispatch or installation work being performed.

Build, develop and grow relationships with subcontractors and field service providers.

Other duties as needed.

QUALIFICATIONS:

Strong experience with Microsoft Office; particularly Excel, Word and Outlook

Experience working both independently and in a team environment

Effective written and oral communication skills

Effective interpersonal skills

Must be able to learn, understand, and adapt quickly

Strong attention to detail

Advanced and effective verbal customer service skills

Displays competence in prioritizing tasks, managing project responsibilities, consistently

meeting deadlines and showing autonomy in completing tasks

Manages multiple and sometimes competing priorities to meet all deadlines

Demonstrate the ability to make sound decisions

Works independently on complex tasks with some technical and management guidance

Demonstrates analytical problem solving skills by balancing the use of practical application of

experience and creativity

Ability to defuse occasional tension with clients

Persuasive, encouraging, and motivating

Overtime or nonstandard business hours may be required to meet project deadlines

Ability to work accurately, with interruptions, to meet deadlines

Ability to prioritize work and work accurately under pressure of deadlines with frequent

interruptions

Ability to work quickly, accurately and independently in a fast-paced environment

Organizational and time management skills sufficient to independently establish priorities and

coordinate and complete competing assignments within established timeframe
