Role: SharePoint Architect Location: Remote Duration: Contract Job Description: Note : We need to get a Summary of the approach company will take towards content reorganization and migration Background The Client plans to migrate content from file shares to SharePoint Online. This is a complicated process that will involve re-organizing our current IT infrastructure and building an architecture in SharePoint that will lead to a high-performing document repository. A well-planned information architecture will help improve user adoption, satisfaction, and productivity while reducing costs and minimizing risk. The Client has partnered with a consultant to receive recommendations for various ways to migrate data, some of which has been very helpful for our IT team. What has not been determined is a clear path from our current file share structure to a modern SharePoint architecture and the best-practice approach to support user adoption and provide the best user experience. Summary of Work The Client is a local transit authority located in Everett, Washington. We are seeking a consultant to provide the following: Create an information architecture for Community Transits new modern SharePoint Online. Configure how content will be mapped in the Microsoft 365 environment. Using the information architecture and content map, the consultant will complete a pilot migration of folders and documents from the existing file structure to SharePoint Online for one of our eight departments. We estimate our current file size to be about 10 TB of data over 8 departments and shared files. The pilot department contains about 473,000 files, 27,600 folders and 368 GB of data. Our goal is to complete the migration of all departments and shared drives to SharePoint Online by the end of 2025. Pending budget approval and mutual agreement, the selected consultant may also assist with migrating additional departments following the successful completion of the pilot phase. The level of support required for these subsequent migrations may be less than that of the pilot. The consultant shall provide a migration plan for the remaining seven departments based on pilot migration and lessons learned. Below are the scope of activities requested: Partner with stakeholders to: Create a system design that describes the logical and physical architectures by which the system will be implemented to meet requirements. Include detailed architectural documentation, configuration parameters, details of all components of the system, licensing requirements, security related rules, system and Business User accounts and permissions. Produce an information architecture that describes the structural design of content and security for the entire organization. Develop an information architecture aligned to CTs Records Schedule. The Information Architecture will outline structure, including Collaboration and Team sites, Libraries, document types, metadata elements in a hierarchical structure. Configure how content will be mapped in the Microsoft 365 environment. Include SharePoint Sites, Libraries, Metadata, and Security for the pilot department. Create a plan for organizing shared drives in which each folder may have a different owner and sharing permissions. Create or provide instruction and best practices on creating site templates, adding pages, and generally organizing content within a site. Conduct a pilot migration. Facilitate content reorganization and classification by re-organization content according to the information architecture. Determine process tools and timeline as well as guide content experts in the process of preparing content for migration. Execute content migration, verify that all content is successfully migrated. Deliver end user training for users. Three sessions up to three hours in length. Training may be completed in person or remotely. Perform delta migration to migrate any recent documents that were added or modified since the initial Migration. Provide support and coaching to the pilot department users. For the first two days of live operation the same primary contact whose participated on the project shall be available by phone/email to respond and resolve business users problems or issues. The Consultant shall provide a quick response for these initial questions, no more than 2 hours to provide response. Facilitate content cleanup workshops with staff to provide knowledge transfer pertaining to the identification and remediation of redundant, obsolete, and trivial information as well as facilitate pilot department content experts through a structured content cleanup exercise. One session of up to one hour in length, up to ten attendees. Training may be completed in person or remotely. Conduct system Administrator training. One session for up to eight hours in length, up to ten attendees. Training may be completed in person or remotely. Create a governance plan documenting the roles, settings, policies, and procedures related to a set of best practice M365 governance activities. Develop a migration plan for the client. Identify the required resources, tasks, and associated timelines, to achieve project plan objectives.
