Description:

Position Summary

The Organizational Change Management team is responsible for people change management planning and readiness activities across a variety of projects and initiatives within the NYU PMO managed projects. Collaborate with central teams, schools, and departmental administrative clients to manage all change management activities

throughout the duration of the project including encouraging, gathering, and presenting feedback, and participation on proposed solutions.

Manage organizational change management project activities from stakeholder analysis, impact assessment,change plan creation and delivery, monitor and measuring for success of new initiatives and/or systems. Manage, develop, and deploy comprehensive communication, training and engagement plans and readiness activities (including and not limited to rollout preparation, stakeholder surveys, executive level presentations, and meeting execution) to ensure user acceptance and adoption.

Support service delivery related readiness activities for organizations/departments impacted by a recent change initiative. Ensure key initiatives are successfully executed and implemented at NYU to drive higher stakeholder engagement, faster adoption/buy-in and proficiency, and comfort with the new change whether it be a new business process or policy, or new/upgraded technology platform or application.

Principal Duties

Leads information gathering sessions to identify key impacted stakeholders Creates stakeholder and impact analysis including current and future state, benefits, risks and dependencies of all change in partnership with the Project Lead and User community. Develops Change Plan to ensure proper messages are shared with the impacted staff, including communications, engagement and training activities. Gains sponsor and stakeholder approval of the change plan, and deployment of the change activities. Challenges program representatives to ensure impact analysis are complete and thorough. Manage and develop insights and solutions related to change management risks and issues and communicate them in a clear, compelling, and timely manner to the appropriate audiences. Leverages standardized templates to deliver Stakeholder Assessment, Impact Analysis and Change Plan activities. (45%)

Lead organizational change management project activities for all stakeholder/client activities and perspectives related to the initiation, analysis, testing, and rollout of new initiatives, and/or systems to improve business processes. Partner and coordinate with portfolio leadership, project management, business analysts, and subject matter experts. Provide regular updates to the Project Team at weekly meetings to deliver transparency to the Organizational Change Management work. Plan change

management activities for key stakeholder, including change network, working groups and sponsors to encourage awareness, desire, knowledge, action and reinforcement of the change. Create Sponsor Roadmaps to ensure leadership is actively engaged and showing support for the on-going initiatives.( 25%)

Manage and develop comprehensive communication plans and associated assets. Design communication solutions, key messages, and appropriate delivery mechanism. Draft lead reviews and finalizes communication assets and coordinates all aspects of their aspects their distribution of the Change Management and Stakeholder Engagement Plan for distribution across functional areas, including but not limited to of emails, newsletters, surveys, website updates, reports and presentations (executive level and stakeholder.) Coordinate with NYU IT Internal Communications team and University Relations and Public Affairs teams, as needed. (15%)

Manage and coordinate design, development, and delivery of training programs and materials (such as tip sheets, FAQs, presentations, classroom and online instruction, and videos) to be delivered to key stakeholders. Update and refine Change Management tools and templates.(10%)

Maintain functional knowledge of specific portfolio needs and practices for the University's business processes by understanding key milestones, activities, events and general practices, policies and workflow. Collaborate with school and departmental administrative users to encourage and drive participation in initiatives, analysis phases and testing as well as the rollout and ongoing support of proposed and deployed solutions. Update and refine Change Management tools and templates. (5%)

Required Experience and Experience Experience Details

-5+ years of demonstrated experience and proven success in organizational change management including stakeholder analysis, impact analysis, change plan creation including training, communications and working closely developing support models for users and stakeholders. Experience with project management and/or business analysis. Proven success working in a project team-oriented environment.

Required Knowledge, Skills and Abilities

-Maintain working functional knowledge of business needs, processes, and practices required for a successful change program. Ability to develop and maintain multiple channels and methods of communications. Excellent interpersonal, verbal and written communication skills. Strong relationship building skills. Excellent analytical and

problem solving skills. Ability to be flexible and adjust as needed to changes in deadlines and priorities. Must have knowledge of a formal change or project management methodology Must have the ability to work in a complex matrix organization.

Preferred Experience and Experience Details

-2+ years of experience working in consulting or a PMO function.

-1+ years of experience working in higher education or a complex global organization.

-1+ years of training development and delivery experience.

Preferred Knowledge, Skills and Abilities

Experience with Google suite of products including Gmail, Docs, Sheets, Slides, Forms, and Calendar and online learning development tools.

Additional Preferred Knowledge, Skills and Abilities

Must be well versed in quality data collection to ensure adequacy, accuracy and legitimacy of data in NYU systems and be able to strictly follow data privacy and security procedures for data handling and analysis to ensure adherence to legal and institutional standards.

Institutional Impact

This position manages change management, readiness and associated service delivery activities for upcoming NYU IT related projects and initiatives including HR, Finance, Teaching & Learning, IT, and Student related projects. This role supports the entire NYU Community primarily in New York but oftentimes will coordinate and work with NYUs Global Sites and Portal Campuses in Abu Dhabi and Shanghai. This position will interact with important populations such as Associate Vice Presidents, Deans, Admin Deans, Fiscal Officers, Human Resource Officers, Principal Investigators, Department Administrators and Functional Leads throughout various

departments. In NY this is not limited to 16,000+ employees, ~5,0000 faculty and 20,000+ students. For many of these projects, all NYU schools and administrative units will be impacted and/or supported depending on the nature of the project.

Authority and Accountability

This position provides support to functional leads for policies that may require updating as a result of the various changes related to a particular project or initiative. All communications and training deliverables developed will impact the University community depending on the scope. This will be determined during the beginning of an initiative during the stakeholder analysis phase.

Critical Thinking and Decision Making

Crafting timely and critical communications to be distributed University-wide or to specific schools or departments. Escalating stakeholder engagement issues, concerns or possible risks areas and developing mitigation strategies. Determining if a school or dept. is properly prepared for the change and escalating as needed to the Executive Director and Portfolio lead.

Internal/External Contacts

This position interacts regularly with Associate Vice Presidents, Department Functional Leads, Administrative Deans, Human Resource Officers, Fiscal Officers, and associated teams and units in all NYU schools as well as NYU administrative units and associated leadership including and not limited to University Human Resources, Finance Operations and Treasury, Information Technology, the Budget Office, CSALS (Center for Student Activities, Leadership and Service), Student Services Departments, and the Provost Departments. Stakeholder groups include faculty, researchers, retirees, employees, and students. In addition, on occasion, this position interacts with external consultants and vendors.
