Contractor shall provide source and destination paths for file copy, as well as move Disk Group files from old OnBase Server(s) to the new ones (for all environments). 2. The OnBase servers (PROD/LIVE and DEV), shall be replaced by new Windows Servers, 2019 and 2022 are both compatible. ODRC shall install Windows Server (2019 or 2022) and IIS components and provide access to Contractor for installation of OnBase components. New servers shall be setup with same specifications as existing servers. If needed, resources may be increased at a later time. 3. A new DEV environment shall be created based on the current existing PROD/LIVE environment and then upgraded to v.22.1. This will be the new DEV environment going forward. The preexisting DEV environment shall be decommissioned after the upgrade is complete. Once User Acceptance Testing (UAT) is signed off on the new DEV environment, the PROD/LIVE environment shall be upgraded to v.22.1 using incremental/parallel upgrade (IPUP). Contractor shall coordinate with ODRC to move any work in progress in the DEV environment to PROD/LIVE prior to the start of the DEV OnBase upgrade. 4. Database shall be upgraded first to EP3 (v.20) and then immediately upgraded to EP5 (v.22.1). This applies to the database schema only. 5. 64-bit Server & Application Requirements: a. All existing servers are assumed to be 64-bit. b. All application components shall be 64-bit, where available by Hyland (manufacturer of OnBase). Database Server As a part of this proposed OnBase Upgrade Project, the OnBase database (DRCONBASESQL) shall be moved to a new database server with upgraded SQL. For the new OnBase DEV environment, a new DEV OnBase database shall be created (snapshot of Production/LIVE) on a new DEV SQL server. The Contractor shall perform OnBase related tasks on the database for upgrade purposes. Additional effort related to the database shall also be performed by the Contractor (setting up database backups, maintenance jobs, etc.) assuming the appropriate security access is available. Integrations Currently, ODRC utilizes the following integrations with OnBase, which shall be configured in the upgraded version of OnBase (v.22.1) to reflect the current configuration and utilization requirements in OnBase version 18. 1. Application Enabler (integration with DOTS portal) 2. Integration for Konica Minolta bizhub MarketPlace MFP 3. Unity Integration Toolkit 4. Integration for Microsoft Outlook (not currently configured, but ODRC is licensed for) Authentication Standard internal OnBase security is currently in place for ODRC and shall remain post-upgrade. Project Assumptions 1. ODRC IT shall provide their full participation of the project for it to proceed smoothly and successfully. 2. ODRC business users and IT staff shall be available to test and provide sign offs in a timely manner. 3. The Contractor staff shall be performing all services remotely but are available to come on-site if requested. 4. All work is intended to be implemented in a timeframe of contiguous weeks. 5. The OnBase Upgrade shall be performed on new servers. 6. Contractors shall be given the opportunity to review any development or configuration implemented by ODRC or another vendor for compatibility with the upgrade. 7. 64-bit application components are limited to components as they are released from Hyland. 8. If necessary, after execution, this Services Proposal or corresponding agreement may be adjusted in scope, or a new agreement issued, following the Project Change Control Process. 9. ODRC shall execute timely decision-making, completion of all deliverables and action items and resolution of issues throughout the course of the project, as defined in the mutually agreed upon project schedule. 10. A formal project schedule will not be issued until an agreement between all parties is reached on target completion dates and duration, and consideration of any other active solution development. 11. ODRC shall communicate any high-volume periods for the business users, IT personnel and any other stakeholders before the project commences so that all stakeholders can plan accordingly, and the project plan can be designed accordingly. 12. ODRC IT staff participants shall be available for a weekly update touchpoint to ensure that the project ison track. ODRC business users shall be available for periodic meetings during project initiation and UAT phases. 13. ODRC shall provide a project manager and/or an IT point person to coordinate efforts, although the Contractor shall be responsible for overall Project Management. 14. The Contractor shall coordinate with ODRC Power Users for developing test scripts to be used to test during UAT. The same test scripts are to be used for the DEV and LIVE environments to ensure testing is consistent. 15. UAT of the LIVE environment upgrade shall target a 2-week (10 business days) period. 17. DEV environment creation and upgrade will be a one (1) time event. 18. LIVE environment upgrade will be a one (1) time event. 19. Post-LIVE environment upgrade, Go-Live shall include a 2-week (10 business days) period of Hypercare. 20. No development or new configuration in OnBase shall be performed during the upgrade period. 21. If there is configuration work that exists in DEV but not in PROD/LIVE, the Contractor shall coordinate with ODRC to move that work into the current PROD/LIVE environment prior to the start of the upgrade project, otherwise it will be lost as the upgraded DEV environment shall become a copy of the current PROD/LIVE environment. 22. In an effort to reduce the onus on ODRC IT resources, the following tasks, which are typically performed by customer IT staff, shall be absorbed by the Contractor. It is assumed that the Contractor shall have the necessary security rights and permissions to perform these functions, otherwise ODRC IT staff may be required to assist: a. Copy Disk Group files from old OnBase Servers to new ones (for both DEV and PROD/LIVE) b. Tasks associated with the OnBase database (setting up backups, maintenance job, etc.) c. Migration of any in-progress configuration work in the DEV environment to PROD/LIVE prior to the start of the DEV upgrade to ensure both DEV and PROD/LIVE are in sync Upgrade Exclusions 1. There will be no changes to OnBase or related configuration. No new functionality shall be added outside of any updates Hyland has made between v.18 and v.22.1. 2. The Contractor will only perform tasks related to OnBase. Any other application configuration or troubleshooting is out of scope. 3. Any major or minor build or service pack updates after the initial DEV environment upgrade is completed. 4. No additional (new) software is required nor included in this Statement of Work. Upgrade Deliverables The Contractor shall deliver the following: 1. Professional Services: a. Solution Consulting, for performing upgrade in both DEV and PROD/LIVE environments. b. Project Management, for resource coordination, monitoring Project Plan, including schedule and budget, and overall dedicated oversight to see ODRC from current state to future state. 2. Installation instructions for DEV and LIVE environments 3. Project Plan (upgrade implementation tasks, target completion dates, timeline, budget) 4. Weekly Project Status Report (tasks accomplished, upcoming tasks, budget, UAT issue log) 5.
